  1. Assistant Good afternoon, Salon Noor, you're speaking with the assistant. How can I help?
  2. Customer Hi! I'd like to book a haircut, this week if possible.
  3. Assistant Lovely. I have Thursday at ten or Friday at half three. Which suits you better?
  4. Customer Friday at half three is perfect.
  5. Assistant Great, I'll put you in. May I have your name?
  6. Customer Sanne de Vries.
  7. Assistant Thank you, Sanne. Friday at half three is all yours. You'll get a confirmation by text in a moment.
  8. Customer Lovely. Oh, and I have a question about a treatment for my sensitive scalp. Is that possible too?
  9. Assistant Good question. I don't want to tell you the wrong thing, so I'll pass it on to Noor herself. She'll call you back today.
  10. Customer Brilliant, thank you!
  11. Assistant My pleasure. See you on Friday!

  • The appointment goes straight into your diary
  • Confirmation by text or email
  • What it does not know goes to you
  • What it does not know, it passes on. You only get the calls you really need to take yourself.
  • The diary fills itself.
  • You have time for the customer in front of you, and your customers get their answer sooner.

In practice

Diary filled automatically

The phone rings, a WhatsApp comes in, an email sits open. All three answered while the coach carries on teaching. The trial session is in the diary before the call is over.

What it deliversNo more missed customers.

What it plugs intoPhone, WhatsApp, Email and Diary

What stays human

The conversation about an injury, the complaint and the cancellation stay with people. Those come to you, with the context attached.

How it works

  1. What comes in

    Every call, every message

Phone, WhatsApp and email arrive in one place. At a quarter to eight, on a Saturday, in the middle of a class.

  2. What the system does

    Answered from your own answers

Opening hours, prices, the trial session, parking. In the tone of your business, from what you have set down. Not from a script.

  3. What comes out

The appointment is in the diary

In the diary you already use, with a confirmation by text or email. When it needs a person, it goes to a person, with everything that has been said so far.

  4. What it gives you

    You hear none of it

No missed customer, no voicemail to return after class. The hours on the phone go back to the gym floor.

Most of the revenue a small business misses is the phone ringing while you are helping someone else. The virtual receptionist picks up, replies on WhatsApp and email and puts the appointment straight in your diary.

Do you recognise your own business?

  • Gym, salon, practice
  • Installer, garage, landscaper
  • Hospitality, hire, events

One thing at a time, and the thing that does the most. A roadmap that grows with you.

This suits you if

  • You get more calls and messages than you can decently answer
  • The same five questions come back every day
  • You lose appointments because nobody picked up
  • You work with your hands and cannot stop every time

About the virtual receptionist

Does it sound like a robot?

No, but it does not pretend to be a person either, and that is deliberate. The voice is natural enough to talk to comfortably, and the agent says in its opening line that it is the assistant.

What if the agent does not know something?

Then it says so and hands over, or it takes the question down so you can call back. We would rather build it a little too cautious than have it make things up.

Can I keep my own number?

Yes. In most set-ups your existing number stays in use and the call only goes to the agent when you do not pick up yourself, or outside your opening hours.

Do I need anything special for WhatsApp?

The WhatsApp Business API. We handle that registration with you, including the verification of your business. Allow a few days for Meta to process it.

Can I read along and take over?

Always. You see every conversation and every message and can step in at any moment. The agent then steps back.

What does it cost?

That depends on what has to be built and what it has to connect to, and that differs per business. So we start with the AI Audit: after that you know what building and maintenance cost in your situation, before anyone starts.

Not sure?

Tell us what is going on at your end, and we will say honestly where AI makes a difference.
